At my work, we use a combination of mailing lists and a wiki for dynamic documentation, before it gets formalised into a real document (or at least that's the theory).

We did try a web-based board for a while, but it didn't really work as well, probably since it was too much effort for not enough gain.

As it is, things work well provided people don't take project-based email into private threads. We use TikiWiki for the documentation which is ok, but sucks for searching.

I've implemented SMF once (with Scott Buffington's help) and it's nice and featured. I recently set up some private forums for my extended family using Lussumo's free Vanilla forum software and that was pretty easy. Vanilla is as the name implies. Not highly featured, but dead simple to administer.

I don't know of TikiWiki... but I use TiddlyWiki for documentation - and searching works well. A big range of plugins too!
